Terms and Conditions for Travel Agencies & Groups
Group Definition
Summer and autumn seasons: A group is defined as a minimum of 5 persons.
Winter season: A group is defined as a minimum of 10 persons.
General information:
All bookings, updates and notes are handled exclusively via Bokun Agent Portal, which is our internal booking and management system across the company.
Prices are available in Bokun Agent Portal now.
We will continue with three seasonal pricing categories:
Summer and autumn seasons: 1.5.
-13.10.2026 & 1.5. -17.10.2027
High Winter Season (1.12.2026 – 10.1.2027)
“Regular Winter Season” (14.10.2026 – 30.4.2027, excluding High Winter Season)
Summer and autumn seasons & Regular winter season:
All bookings must be confirmed at least 14 days prior to the tour date with the minimum number of participants.
Final group size: The final number of participants must be confirmed no later than 7 days prior to the tour date.
Payment: Payment is made via paylink and is due by the tour date.
Cancellations:
Cancellations or changes made after the group size has been confirmed (14 days prior) may be charged based on the confirmed number of participants.
If the cancellation is made 14–7 days before the starting time, a 50% cancellation fee applies.
If the cancellation is made less than 7 days before the starting time, a 100% cancellation fee applies.
In case of a no-show, the full amount will be charged.
High Winter Season
We require the minimum number of participants per booking to be confirmed no later than 30 days before the scheduled date.
This number will be invoiced as confirmed and is non-refundable. We recommend booking a very minimum number of participants 30 days prior, as you may always increase the number of participants, subject to availability.
The final number of participants must be confirmed 14 days prior to the tour.
Invoicing will take place upon the tour begins and will be based on the number of participants confirmed in Bokun no later than
30 days before the tour. If the participant number is increased up to 14 days before the tour, the higher number will be invoiced.
Kindly note: it is possible to increase the number of participants and add capacity up to 14 days prior to the tour, or even closer to the tour date according to the availability.
Pricing
All net rates stated in this manual are non-commissionable and exclude VAT. Net rates do not include VAT. Net rates do not include commission. VAT will be added to the net rate at the time of invoicing, in accordance with Finnish VAT legislation. Net rates are valid only for group bookings meeting the stated minimum number of participants.
These rates apply to contracted tour operators and resellers.
FIT rates shown in this manual are used for bookings/experiences taking place in Santa Claus Village and for FIT bookings. FIT rates include VAT. FIT rates include commission. The agreed commission will be deducted at the time of invoicing according to the agreed commission rate. Tour leaders (max. 2 persons/ group) join the tours free of charge.

If the full payment is not received within the stated deadlines, the booking is not valid. Each booking is valid only for the reserved time. If booked group arrives late and misses the agreed experience, Santa Claus Reindeer is not responsible for providing an alternative activity, issuing a refund, or accommodating the group in a later session of the same activity. In case of Force Majeure (pandemic, natural disaster, thread of war or terrorist attack etc) we follow the policies mentioned above.

Booking methods
Santa Claus Reindeer offers the convenience of booking tours directly through the Bokun online platform, ensuring a fast and straightforward reservation process. By using Bokun, bookings can be made at any time, independent of the sales team’s working hours. Please contact us regarding the Bokun agreement.
For larger group bookings and private experiences, we recommend contacting us via email info@santaclausreindeer.fi to ensure smooth coordination and personalized service.
Methods of payment
Paylink, most preferred payment method, if not using Bokun as booking platform. Bokun payment link when using Bokun as a booking platform. Invoice for longterm contracted partners.
Commission of FIT Prices
Tier 1 = 15% from the total sum of the booking, if more than 20 group bookings in calender year.
Tier 2 = 10 % from the total sum of the booking , if less than 20 group bookings in calender year.
Taava – Special Cases: A 20% commission applies only to separately agreed group bookings at Taava, for example for summer and autumn 2026. These arrangements are confirmed on a case-by-case basis.
